WhatsApp Business API for Clinics: A Plain-Language Guide

The WhatsApp Business API (Cloud API) is Meta's official way for software to send WhatsApp messages on a business's behalf. Unlike the free WhatsApp Business app, it supports automation, templates, and delivery logs, which is what lets clinic software send appointment confirmations and reminders automatically. Meta charges per conversation, in India this is typically a few rupees or less per patient conversation, billed separately from your software subscription.

Both are legitimate. Many solo doctors start with the app and move to the API when manually typing reminders stops scaling. What you need to get on the API

  1. A Meta Business account (free, verified with your clinic's details).
  2. A phone number for the clinic that is not currently registered on the WhatsApp app, or one you are willing to migrate.
  3. A WhatsApp Business Account created inside Meta Business Manager, with the number connected to the Cloud API.
  4. Approved message templates: Meta reviews the wording of each template category (utility templates like appointment reminders are approved routinely when they are factual).
  5. Clinic software or an integration that actually sends the messages and records delivery.

What it costs in India

Meta bills per 24-hour conversation window, with rates that differ by category (utility conversations like reminders are cheaper than marketing). For a clinic sending confirmations and reminders, the monthly Meta bill is usually small relative to a single recovered no-show. These fees are Meta's, separate from whatever your clinic software charges, and any honest vendor will state that clearly.

Consent and patient trust

Collect messaging consent at patient registration, send only what the patient expects (their own appointments, invoices, and follow-ups), and honor opt-outs immediately. Under India's DPDP Act, patient contact details are personal data, so keep messaging inside systems that log what was sent to whom. Blasting promotions to your patient list is both a policy risk with Meta and the fastest way to get blocked by patients.
